Event Planner

We are looking for a successful and enthusiastic Event Planner to produce events from conception through completion. Event Planner responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations.

Typical Duties and Responsibilities:

  • Event planning, design and production while managing all project delivery elements within time limits
  • Liaise with stakeholders to identify their needs and to ensure successful events
  • Conduct market research, gather information and negotiate contracts prior to closing any deals
  • Provide feedback and periodic reports to stakeholders
  • Propose ideas to improve provided services and event quality
  • Organize facilities and manage all event’s details such as lodging, catering, entertainment, transportation, location, attendance list, special guests, equipment, promotional material etc
  • Ensure compliance with insurance, legal, health and safety obligations and ADA accommodations
  • Specify staff requirements and coordinate their activities
  • Collaborate with Communications Department to promote and publicize event
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post – event evaluations and report on outcomes
  • Assist in managing the care of Association owned/leased facilities

Minimum Qualifications & Skills:

Graduation from an accredited college or university with at least five (5) years of related work experience and at least three (3) years’ experience and/or a combination of education and experience that would provide for the following knowledge of, skills and abilities.

  • Proven experience as an Events Planner
  • Excellent time management and communication skills
  • Modern Computer and Online technology, video conferencing, data managements & data systems
  • Experience with labor unions, union operations
  • Ability to communicate effectively, orally and in writing, in a high-paced and at time stressful environment.
  • Professional Customer Service experience to attend to guests, members, and staff in person and by phone
  • Strong organizational skills with demonstrated ability to maintain recordkeeping protocols
  • Multitask and meet timelines in a fast-paced environment using independent judgement
  • Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Additional Requirements:

  • Ability to travel in Michigan, ability to work extended and irregular hours, and work off site, if needed
  • Valid drivers’ license, use of a car for work, and specified automobile insurance coverage are mandatory
  • Work is generally performed in an office setting with prolonged periods of sitting and work on computer
  • When necessary lifting of normal items found in an office setting (boxes of paper, storage boxes, etc.)
